Quality complaints in party supplies cluster tightly: print colour deviation, wrong accessory counts, high balloon breakage, insufficient paper plate grammage, packaging or label errors. They look scattered but one item-by-item checklist covers most of them.
Sampling method
Bulk orders normally use AQL sampling, where lot size determines sample size and acceptance level. The sampling standard must be agreed at order stage, not debated before shipment. Raise the sampling ratio for custom and first orders; regular standards are fine for volume and repeat lines.
Checklist: appearance and printing
- Print colour deviation against the approval sample, focusing on large background areas and brand mark colour.
- Registration offset: whether pattern edges are visibly misaligned.
- Missing print and ink spots: small areas skipped or ink contamination.
- Hot stamping, holographic and glitter finishes: flaking, blistering or uneven gloss.
Checklist: structure and dimensions
- Dimensional tolerance: plate diameter, cup rim diameter and inflated balloon diameter within allowance.
- Accessory counts: count balloons, garlands, glue dots and ties in each decorating kit item by item.
- Assembly integrity: whether glue joints fail or cards separate from the product.
- Functional parts: whether pumps leak and candles light or illuminate properly.
Checklist: packaging and markings
- Packaging format matches the approval sample: correct colour box, header card or poly bag.
- Complete label information: brand, product name, barcode, composition or material statement.
- Case pack and carton dimensions match the order, which directly affects sea freight volume.
- Carton markings: shipping marks, quantity, gross and net weight accuracy.
Checklist: material and safety
- Paper grammage and coating: feel and load strength meet specification.
- Balloon thickness and colour reference, and resistance to bursting when inflated.
- Food contact items: odour, surface coating and edge burrs.
- Children's items: security of small parts and sharp edge checks.
What to do with failures
Handle by defect type and rate in three tiers: serious defect batches are reworked or replaced; minor defects may be accepted with a negotiated discount; slight defects are recorded. The plan and timing must be confirmed before shipment rather than discussed after the goods reach port.
Why third-party inspection helps
Supplier self-inspection and third-party inspection do not conflict. Self-inspection solves problems on the line; third-party inspection gives an independent confirmation before shipment, which suits first orders, large orders and new products. Fees are normally borne by the appointing party and can be agreed in the order.
