FAQ
Frequently asked questions
These are the questions overseas wholesalers, importers and store owners ask us most, organised into nine stages of the sourcing process. Jump straight to the part you care about.
Sourcing & cooperation
What kind of supplier are you — a factory or a trading company?
We are a party supplies supply chain integrator (trading plus supply chain management) with production capability through partner factories. Party supplies run to thousands of SKUs and styles are fragmented within a single category, so one category often needs more than a dozen factories to cover the range. Our value is integrating source factories with development capability into one branded, standardised management system. We do not present ourselves as a factory, nor claim manufacturing capability we do not have.
What is your minimum order quantity (MOQ)?
MOQ depends on category, style and packaging. Fast-moving stock categories can be ordered from single pieces; custom printed and private label lines usually carry a per-style minimum. Before ordering we put the MOQ for every category on the quotation rather than leaving it oral.
Can we mix batches or styles, and combine different categories in one order?
Yes. Mixed batches and mixed styles are very common for us, especially for customers starting out or wanting to reduce dead-stock risk per style. When combining, the quotation lists quantity and unit price per style with the case pack, so you can calculate landed cost and plan your shelf structure.
How do you reduce supplier management cost for buyers?
The biggest hidden cost in party supplies sourcing is not the unit price but communicating with and quality-controlling dozens of loose suppliers. We tier categories, quote and sample several factories for the same category, unify card and packaging standards, and give you a single contact window with centralised pre-shipment inspection.
Can we start with a small trial order?
We recommend starting with samples plus a small trial order. The point of a trial is not price but verifying three things: that production matches the approved sample, that packaging and case pack are accurate, and that lead time is reliable. Once those are proven, full-container orders carry far less risk.
What is the difference between your two business models?
First, brand agency: we authorise overseas wholesale partners to use the party win brand and product system, with goods supplied under our unified cards and packaging. Second, OEM: we manufacture under your own brand with your packaging, labels and barcodes. The two can run in parallel and can be split by category for the same customer.
Can we visit your warehouse or partner factories?
Yes, with advance booking. We also support live video walkthroughs of the warehouse, production lines and shelf stock, so you can verify inventory and stocking status without travelling. Visits to third-party factories need to be arranged with the factory in advance.
Pricing, quotation & payment
What does your quotation include, and why are some quotes so much lower?
Our quotation states unit price, pricing unit, case pack, carton dimensions and gross weight, MOQ, lead time, trade terms and validity. Lower-than-market quotes usually differ in material thickness or grammage, fewer accessories, simplified packaging, excluding tax or freight, or skipping inspection and wastage. Compare quotations line by line against specification, not on unit price alone.
Do you offer tiered pricing, and at what volume does the price improve?
Yes. Most categories carry tiered pricing with a better unit price at higher volume. The break points usually relate to a factory's minimum production run, printing plate counts and packaging minimums; we mark the break points on the quotation so you can judge whether topping up a quantity is worth it.
How long is a quotation valid, and how do you handle currency fluctuation?
Standard validity is 15 to 30 days and is stated on the quotation. When raw material prices or exchange rates are volatile the validity is shorter. After expiry we reconfirm pricing; a confirmed order is not affected by currency movement within the validity period agreed on that order.
Which payment methods do you accept?
Telegraphic transfer (T/T) is most common, and larger orders can be paid in stages. Letter of credit (L/C) and similar arrangements can be discussed where conditions allow. Ratios and milestones are written into the order or contract; we make no oral commitments and never ask for payment to an account that does not match the contracting entity.
Are prices quoted in USD or RMB, and can you quote other currencies?
We usually quote in USD and can also quote in RMB. Other currencies depend on the settlement channel; we prefer a currency that clears smoothly for both sides to avoid unnecessary conversion costs.
Are prices tax inclusive, and does export rebate affect the price?
The quotation states explicitly whether it is tax inclusive and whether export declaration costs are included. For rebate and similar policy arrangements please follow the tax and compliance rules of your market; at order level we can provide the required export documents.
Sampling & OEM customisation
How long does sampling take and how is the sample fee charged?
Stock categories can usually ship existing samples quickly. For custom printing or new tooling, the sampling time depends on craft complexity and we give an estimate before starting. The sample fee normally covers sample cost and courier charge, and whether it is deductible against mass production is stated in writing beforehand.
Can you manufacture under our own brand, and what do you need from us?
Yes. Please provide your logo files (vector preferred), packaging design requirements, label and barcode rules, and whether custom cartons are needed. If licensed characters or film or animation IP are involved, lawful authorisation documents are required; we do not produce unauthorised content.
Is custom packaging MOQ high?
Custom packaging MOQ depends on printing method and structure. Colour boxes, header cards and stickers have relatively low thresholds, while special and irregular structures require more. We normally present both a fully custom packaging option and a unified packaging plus custom sticker option with cost comparison, so you can choose against your budget.
Can you produce from our artwork, and how do you control colour deviation?
Yes. Before printing we confirm colour reference (for example a Pantone number), material and craft, and issue an approval sample. Bulk production is checked against that sample within normal industry tolerance. If you need tighter colour control, tell us before ordering and we will state the allowed tolerance in the quotation and order.
Can you help develop new styles?
Yes. We run a data-driven range and development process: starting from market demand and use scenario, then style design, material selection, structure development, repeated sampling and performance testing. You can also supply reference images or a competitor sample and we will propose a feasible craft plan with a cost range.
Is sampling always charged, and can we see stock samples first?
Stock categories can be sent for physical review first. Custom styles usually carry a sample fee because plates and labour are involved. Both can run together: review stock samples to judge material and craft level, then decide which styles justify custom tooling.
Production & lead time
What is your usual lead time?
Stock categories can ship once the order is confirmed and payment received. For custom and mass production orders lead time depends on category, craft, quantity and current scheduling, and an estimated date is given on the quotation. Peak seasons before Christmas, Halloween and graduation are busier and lead times are longer than off-season, so ordering earlier is advisable.
How late can we order for peak season?
Seasonal categories have a clear ordering window. For Christmas and Halloween, overseas wholesalers typically need to order months ahead to cover production, inspection, sea freight and on-shelf lead time. We have summarised the main ordering windows as an industry note; work backwards from your retail calendar.
What happens if lead time slips, and will you sacrifice quality to catch up?
If the delay is on our side we inform you immediately of the cause, the affected scope and the recovery plan, and we bear the agreed responsibility under the order. We do not skip inspection to save time — leaving problems until the goods arrive costs more than a delay.
Can you expedite production?
Some categories can be expedited depending on current capacity and material stock, usually at extra cost. Tell us your latest acceptable arrival date in the inquiry and we will judge whether expediting is needed — or tell you honestly that it cannot be met, rather than accepting and delaying.
How does your rolling multi-batch stocking work?
One stream of goods rolls through four stages: a batch arriving at the customer's overseas warehouse, a batch on the water, a batch held in our own warehouse, and a batch in pre-scheduled production based on overseas sell-through data. Peak-season replenishment therefore keeps flowing without one large inventory commitment.
Can we see production progress?
Yes. After order confirmation we report at key milestones: materials in place, printing, assembly and packing, inspection complete, booking and shipment. Exceptions such as material delays or craft issues are raised as soon as they are found, without you having to chase.
Quality, materials & compliance
How do you inspect, and to which sampling standard?
Bulk orders are inspected before shipment against an agreed sampling standard (commonly AQL), with defect types and rates recorded. Print colour deviation, material feel, dimensional tolerance, accessory count, packaging labels and barcodes are each checked against the approval sample. Problem batches are reworked or replaced before shipment.
Can we arrange third-party inspection, and who pays?
Yes. You can appoint a third-party agency and we will coordinate timing and provide factory and cargo information. Third-party inspection fees are normally borne by the appointing party; this can be agreed in the order. Your own inspector or local agent is also welcome.
Do your products have test reports or certificates, and can you guarantee them?
Compliance requirements vary widely by category. For food contact materials, children's products, toys and environmental requirements, test items and report requirements can be agreed before ordering and issued by a qualified institution. We do not claim certificates or results we have not obtained; confirm which test and which institution before ordering and write it into the order.
Can you supply eco-friendly materials only, and what is the cost difference?
Yes. Typical directions include FSC-certified paper, biodegradable or compostable materials, moulded pulp plates, paper straws and plastic-free cutlery. Eco materials usually cost more than conventional materials at the same specification; the exact difference depends on material and craft and we will provide a comparison.
What if the goods arrive damaged or short-shipped?
Please check as soon as the goods arrive and raise it within the agreed period, keeping the original packaging, carton labels, photos and video, and the carrier's record. After verification we will propose replacement, refund or a price adjustment. For damage caused in transit we will also support a claim with the carrier.
Must the packaging carry your brand?
No. Under brand agency, goods use party win cards and packaging. Under private label, your own packaging and labels are used. A middle option is unified packaging plus a custom sticker, which lowers the custom packaging MOQ and cost.
Logistics, trade terms & overseas warehousing
Which shipping methods do you support?
Sea, air and international express, chosen by volume, time requirement and budget. Both FCL and LCL can be arranged; smaller replenishment often uses LCL or air, and urgent top-ups can go by express. We provide a cost and transit comparison for each option in the quotation.
Do you work on FOB, CIF or DDP terms?
Yes. Common terms include FOB, CIF and CFR, and DDP can be discussed where appropriate. Each term defines a different cost boundary, insurance and customs responsibility; the quotation states which one applies so cost ownership is clear before arrival.
What can the overseas warehouses do, and what is drop-shipping here?
Overseas warehouses handle local stock, drop-shipping, order fulfilment and local replenishment. Drop-shipping means you pass us the order and we pick and dispatch directly from a warehouse in your region, reducing transit time and freight pressure compared with shipping from China. It suits e-commerce channels and frequent small replenishment.
Which countries have overseas warehouses?
Current overseas warehouses cover Mexico, Chile, Argentina, Brazil, Honduras, South Africa, Peru, Bolivia and Trinidad, with brand dealers in the United Kingdom, France, Spain, Italy, Greece, Saudi Arabia, Qatar, Kazakhstan, the Philippines and New Zealand. Specific addresses and service scope are subject to written commercial confirmation.
Do you handle customs documents?
We arrange export declaration and documentation on the China side, including commercial invoice, packing list and bill of lading. Destination customs clearance is normally handled by you or your agent, and we can supply additional documents the destination customs requires. If certificates of origin or similar are needed, tell us before ordering.
How are duties and import taxes calculated?
Duties and import taxes in the destination country depend on product classification, declared value and local policy, and are borne by the importer. Consult your local customs broker for accurate rates. What we can do is declare honestly at real value and provide accurate product information — we do not under-declare.
After-sales & claims
What is the process when a quality problem occurs?
First, raise it within the agreed period with evidence kept: photos, video, carton labels and sampling records. Second, we check the batch, approval sample and inspection record to determine the nature of the issue and where responsibility lies. Third, we propose replacement, price adjustment or refund and confirm timing. The point is to establish responsibility rather than to delay.
Is there a deadline for claims?
Yes. The claim period is agreed in the order or contract, normally running from the arrival date and covering counting and inspection. Responsibility is hard to allocate after expiry, so inspect soon after arrival. If goods are transhipped to an inland market, tell us in the original order so the period can be adjusted.
Can goods be returned?
Custom production is generally not returnable without cause, since products and packaging are made to your brand and requirements. Quality problems that are our responsibility go through the claim process with replacement, price adjustment or refund as agreed in the order. Stock items may be discussed if unopened and resaleable.
How are commercial disputes handled?
We resolve by negotiation first, using the order, quotation, inspection records, correspondence and documents as the factual basis and working through the points of disagreement item by item. If negotiation fails, the dispute resolution method agreed in the contract applies, which states the governing law and channel.
Will you exaggerate capability to win a deal?
This is a stated principle on our website: we make no unverifiable performance promises, claim no certificates we have not obtained, and invent no customer cases. The site separates publicly verifiable registration facts from company-stated business information precisely so you can see what is hard fact and what needs further explanation.
Company & verification
What is the full company name and unified social credit code?
Full name: Yiwu Xindian Brand Management Co., Ltd. Unified social credit code: 91330782MAG0C72G4Y. Legal representative: He Xiangmei. Date of establishment: 25 September 2025. Registered address: Room 203, Building 1, No. 7 Siyuan 1st Street, Niansanli Subdistrict, Yiwu, Jinhua, Zhejiang, China. These details can be verified through public channels including the National Enterprise Credit Information Publicity System.
The company was only founded in 2025 — how do you have experience?
Fair question, and we answer it directly. The legal entity was registered on 25 September 2025, while the team has been in overseas procurement and supply chain since 2010, with sixteen years of overseas market and source factory experience. This is the difference between a newly established entity and the team's years in the trade; we do not present the team's historical results as the company's operating data. See the Clarifications page on our website.
How can we verify your scale figures?
The website splits data sources in two. Company name, credit code, legal representative, founding date and registered address are publicly verifiable registration facts. SKU count, number of partner factories, warehouse area and the overseas warehouse and dealer network are company-stated business information. For the latter we can provide live warehouse video, shelf photos, order and shipment records, and we welcome on-site visits.
What is the relationship between the brand party win and the company?
party win is the brand used by Yiwu Xindian Brand Management Co., Ltd. for its party supplies business. Stock goods use unified brand cards and packaging that form the party win visual identity. Under brand agency an overseas partner receives brand authorisation; under OEM the customer's own brand is used.
Why does the website separate verified facts from company-stated information?
Because the two have different evidential strength. Registration facts are third-party verifiable and are hard facts; descriptions of business scale and capability currently come mainly from internal company material and are company-stated. Labelling them separately lets you see which item needs extra evidence and what to ask us for. This is the disclosure standard we intend to maintain.
How do we contact you and how fast do you respond?
Use the inquiry form on our website or the business email address; our official contact details are those published on the site. We normally reply to inquiries within 48 hours. To get a useful first answer, include your target market, the categories you need, approximate quantities, your required arrival time and whether private label is required.
Range planning & market advice
For a first party supplies business, which categories should we start with?
Usually start with a combination of high frequency, low threshold and shelf-ready: birthday decoration kits, balloon styling, party tableware and cake and candles, which enjoy steady year-round demand. Then add seasonal categories according to your market's festival calendar. We do not recommend opening with thousands of SKUs at once.
Which markets have strong demand for party supplies?
Our current customers are concentrated in fast-growing markets in Latin America, South America and Africa, with the Spanish-speaking region the largest share, and we also have dealers in the United Kingdom, France, Spain, Italy, Greece, Saudi Arabia, Qatar, Kazakhstan, the Philippines and New Zealand. Festival structures differ greatly by market, so confirm local holidays and buying habits before building a range.
Can you provide range planning data or advice?
Yes. Based on existing customers' product mix and the festival calendar, we advise on category combination, price bands and ordering rhythm, and flag which styles are year-round and which are seasonal fast-turn. Specific sales and conversion data belongs to customers and is not disclosed.
How often do you release new products, and can we see them?
We refresh styles continuously along festival cycles and market trends, with themed ranges launched ahead of each season. Cooperating customers receive new product lists and catalogues. The product centre on this website shows category direction; the full style list and catalogue can be requested during commercial discussions.
How do we handle slow-moving or out-of-season stock?
Seasonal products do carry out-of-season risk. Control the share of seasonal styles at the range planning stage and use mixed batches to limit per-style exposure. For genuinely slow lines you can adjust the mix next season, or discuss with us whether cross-market reallocation is feasible, which depends on the category and packaging.
Can you build ranges around local festivals?
Yes. We build dedicated ranges for your target country and market, labelled with the local festival name rather than a generic holiday term. This fits local search and buying habits better and supports your online product naming and advertising.
Send your category list and get an actionable quotation
Tell us your target market, category focus and approximate quantities. We will come back with a suggested mix, price range and estimated lead time. First cooperation can start with samples and a small trial order.
